Step 7/7 - [Important] Start managing parent Enquiries and New Admissions

You’re now ready to take full control of your admissions funnel — from collecting parent enquiries to nurturing leads and automating follow-ups.

This step walks you through illumine's Enquiries module, where you can manage admission inquiries, forms, tasks, and communication — all in one place.

Let’s start.

1. Create & Share Admission Enquiry Forms

Navigate to: Forms

Here, you can build custom Admission or Enquiry Forms based on your academic calendar or event-specific needs.

Key Features:

  • Drag-and-drop form builder

  • Style and theme customization

  • Enable or disable forms as needed

Once your form is Live, you’ll get:

  • A public shareable link

  • A QR code to print, email, or share via WhatsApp

📤 Use these to easily collect leads from events, your website, or social media campaigns.

2. Manage and Nurture Enquiries

Navigate to: Enquiries → Enquiries

This is your enquiries dashboard, where all incoming parent enquiries appear.

To manually add an enquiry:

  • Click “Add Enquiry” (top right)

  • Enter available details like parent contact, child’s age, interest area, etc.

Clicking on a lead opens their profile page, where you can:

  • Log calls, meetings, or emails

  • Upload shared documents

  • Add internal notes

  • Assign follow-up tasks

  • Track every action under: Activity / Task / Note / Document / Email

📌 Everything is time-stamped for full traceability and team collaboration.

3. Track & Manage Follow-Up Tasks

Navigate to: Leads → Tasks

This view consolidates all your pending and completed admissions tasks.

  • Filter by date range or lead name

  • Mark tasks as Pending or Done

  • Stay on top of follow-ups, meetings, and outreach campaigns

📅 Great for admission counselors and admin teams to coordinate efficiently.

4. Create & Use Email Templates

Navigate to: Leads → Email Template

Save time and maintain consistency by creating email templates for common use cases:

  • Admission follow-ups

  • Form completion reminders

  • Information requests

  • Event invites

To create a template:

  • Click “Add Template”

  • Enter a name, subject line, and the email body (plain text)

These templates can be accessed from each enquiry's Email tab and inserted into outgoing messages. You can also compose custom emails when needed.
