Program
A structured plan for learning activities offered over a set period. It can include childcare, preschool, afterschool programs, etc. Programs typically specify an age group, the days of the week they run, and the start date and time.
Room
A designated learning space, which can be a physical room within a centre or a designated group within a program (e.g., KG1, KG2, Room 1, Room 2).
Group
A collection of students categorised based on shared characteristics, such as allergies or hobbies. These groups are logical and don’t necessarily reflect a physical space.
Direct Messages
Direct message is a one on one conversation between a staff member and a parent. No other staff except Admin can see it until the permission is provided.
Group Messages
Group messages are exactly how a group message works on WhatsApp. You can create a group and add parents and staff to it. All messages shared on the group can be seen and replied to by anyone who is present in the group.
Shared Messages
Shared Messages refers to an exchange between a parent and all staff who have access to the kids classroom. A parent can initiate Shared Message any time. And any staff who have access to the kid classroom can read and reply to these messages.
Notes
Parents can send notes to teachers anytime to highlight information about kids to the teachers. These notes are only visible to teachers.
Kiosk Code
Kiosk code is unique generated code which helps in marking attendance both for students and staff.
Daily Report
Daily report helps track kid’s daily progress and keep parents informed. It typically daily activities, incident reports, notes from teachers, parents, food, nap times and other noteworthy moments.
Assignments vs Learning Experience
Once Lessons are shared with students, it converts into an assignment or Learning experience. A student is expected to complete the assignment and complete submission then. Both learning experience and assignment will show the Submission tab at parents' end. Learning experience will not have a due date whereas Assignment will have a due date.
Access Control
Access control page helps in setting up access to different features for different roles in school.
Labels
Labels are special tags which can be added to any activity, fee plan, observation etc to easily identify and filter out things. For example, gross motor is a special activity in the school so you can add a label to gross motor as a special activity.
Deposit
Deposit is an amount that you charge a parent at the time of admission which is refundable. You can either add it manually for a user from the Deposit tab or all the fee components that you add as refundable while raising invoice and once the invoice is marked paid, all refundable items get added under the deposit tab automatically.
Debit
A debit note is a document issued by the school to inform a parent of additional amounts owed or for parents to request a refund for overpayments or goods returned to school. E.g., If you are charging 1000 for a uniform and to deliver this uniform you paid 100 to the 3rd party app and now you want this 100 to be paid by the parent for which you will raise a debit note of 100 and parents can pay it from the app.
Credit
Credit is an amount that you have received as an advance payment or extra amount. You need to add it manually and you can use it while settling an invoice for that particular student from credit balance.
Weekly Lesson Plan
Weekly lesson plan refers to a schedule of lessons for teaching during a particular week.
Enquiries
Enquiries refers to the leads (Parents) who are interested in learning more about School and interested in getting admission.
Newsletter
A school newsletter is a digital or printed publication that is sent out to parents and staff. It can be sent at the end of every semester, or more frequently – weekly or monthly. The content typically includes information on school events, announcements, and activities.
Observations
Observation is one of the primary methods of assessments in *Illumine* wherein educators and caregivers can simply take notes on children's behavior, interactions, and activities during daily routines and playtime.
Assessments
Assessment involves maintaining records of a child's progress over time. These records may include photographs, videos, written notes, and the child's work samples.
Learning Journal / Portfolios
Portfolios are collections of a child's work, including drawings, writing samples, and other projects. These portfolios showcase the child's growth and development and provide concrete evidence of their learning journey.
Appointments
An appointment refers to a meeting set up between Parents and Staff members.
Student Status
1. Active - ‘Active’ students are those currently enrolled in your school. You can post activities, take attendance, and generate invoices for them. Parents also have full access to Illumine and can communicate through the app.
2. Inactive - ‘Inactive’ students are those who are no longer attending your school and whose access to Illumine has been revoked. Parents likewise lose access to the platform.
3. On Hold - ‘On Hold’ students are temporarily paused for attendance and activity tracking. Parents can still log in and view all previous posts. This status is typically used when a student is on vacation or when the current session has ended, but parents are still deciding whether the student will return in the next academic year. Keeping the status as ‘On Hold’ allows parents to continue accessing past posts without receiving new notifications.
4. Withdrawn - ‘Withdrawn’ students are those who have formally withdrawn their admission. Marking them as ‘Withdrawn’ keeps their data intact in Illumine while revoking parent access.
5. Signed Up - A ‘Signed Up’ student is one who has registered for an upcoming session but has not yet paid fees or started attending. Once admission formalities and payments are complete, these students can be marked as ‘Active’ and parent invites can be sent. In this status, you can still send invites and invoices, but cannot take attendance or post activities as you would for active students.
6. Transferred - ‘Transferred’ students are those who have moved from one of your centers to another. Parents retain access to both centers and can switch to view past data from the previous center. This is applicable if you operate multiple centers on Illumine.
