1. What happens to existing Observations, Assessments, and Reports when a Development Area is deleted?

  • Observations: If tagged with the deleted Development Area, they will still display with the associated Dev Area.

  • Assessments: Existing assessments will continue to show the deleted Dev Area.

  • Assessment Templates: These will be updated and the deleted Dev Area will no longer appear.

  • Student Progress Report: The deleted Dev Area will not be reflected.

  • Learning Journey: Older Learning Journeys will retain the deleted Dev Area if it was included at the time.


2. Where can I find reports on completed Observations, Reflections, and Concerns for each student?

Go to Student Assessment > Observation Report. Use available filters to generate a comprehensive report for each child, including observations, reflections, and concerns.


3. Can I generate a Progress Report across terms and share it with parents?

Yes.

  1. Create an Assessment Template: Navigate to Student Assessment > Assessment Builder > Assessment Template.

  2. Generate Assessment Report: Go to Assessment > Create Assessment and use the templates to record and generate reports.


4. Can I attach photos or videos within Observations?

Yes. While recording an observation, use the "Add Media and Documents" section to upload photos or videos.


5. Can I tag Milestones in Observations?

Yes. Tag relevant milestones based on the curriculum via the "Select Development Area" section.


6. Can I tag Lessons in Observations?

Yes. Use the "+ Link Lessons" option below the development area field to tag relevant lessons.


7. Can I build and upload my own Curriculum?

Yes. Navigate to Student Assessment > Assessment Builder > Assessment Framework.
You can:

  • Add Development Areas manually.

  • Upload a CSV file using the provided format.


8. How many Curriculums can I set up in Illumine?

There is no limit. You can add and manage multiple curriculums.


9. Can I remove Milestones or Development Areas later?

Yes, but with important implications:

  • Deleted Dev Areas or Milestones won’t appear in new Learning Journeys or Assessment Reports.

  • Existing Observations and older reports will still reflect the deleted items.


10. Can I choose to keep an Observation private (for staff only)?

Yes. While recording, select the option to keep it staff-only.


11. Can I add a Reflection or Concern for a student?

Yes. Reflections and Concerns can be recorded for a student and are only visible to staff.


12. Can I view Observation counts per student?

Yes. Go to Student Assessment > Observation Report, apply filters by student and date range.


13. Can I customize progress tracking for Dev Areas, Sub-Areas, and Milestones?

Yes. Go to Student Assessment > Assessment Builder > Assessment Framework > Manage > Manage Progress.


14. Can I create an Assessment Report to share with parents?

Yes.

  1. Create an Assessment: Go to Assessment > Create Assessment, select a template and date range.

  2. Add Progress: For each child and Dev Area.

  3. Add Comments/Attachments (optional).

  4. Generate & Share PDF: Go to Assessment > Action > Create PDF > Share with Parents.


15. Can I generate reports showing progress across terms?

Yes. Use the same templates for different terms to track and compare student progress over time.


16. Can I customize the Learning Journey PDF view?

Yes.
Go to Student Assessment > Assessment Builder > PDF Settings and choose from:

  • Template 1 & 2 (basic with layout/font options)

  • Template 3 (fully customizable: cover page, branding, comments, attendance, and last pages)


17. Can I save a Learning Journey in draft and edit later?

Yes. Save it as a draft and return anytime to update or finalize before sharing.


18. Can I keep a running Learning Journey and share it multiple times?

Yes. You can create and share multiple Learning Journeys per student across terms.


19. Can I include recently added Observations in a Learning Journey?

Yes. Choose the desired date range when creating the Learning Journey to pull in recent observations.


20. Can I hide Observations from a Learning Journey?

Yes. You can exclude specific observations before sharing the report.


21. Can I reorder Observations in a Learning Journey?

Yes. Observations can be reordered during Learning Journey creation.


22. What are Assessment Templates?

Templates simplify the process by letting you select specific Dev Areas and Milestones for assessments.
To create:

  • Go to Assessment Builder > Assessment Template

  • Select relevant areas

  • Save and reuse


23. How do parents receive Learning Journeys?

  • Email: A PDF version is sent to the registered email.

  • App: Appears as an activity under "Learning Journey."


24. How do parents receive Assessment Reports?

  • Email: PDF version emailed.

  • App: Listed under the "Portfolio" section.
