We’ve introduced a new Student–Staff Ratio experience along with improvements to attendance calculations to help schools maintain compliance, ensure safety, and gain clearer visibility into classroom operations.

What’s New

Student–Staff Ratio Settings Page

Dedicated ratio management

A new, centralized Student–Staff Ratio Settings page allows schools to define, monitor, and enforce student-to-staff ratios across rooms and programs.

Room-level ratio configuration
Ratios can be managed at the room level, ensuring each classroom maintains the required balance of students and staff.

Target ratios by school
Schools can define target student–staff ratios based on internal policies or regulatory requirements. These targets act as benchmarks for real-time monitoring.

Real-time ratio monitoring

Flexible monitoring intervals
Ratios can be tracked and evaluated at configurable intervals:

  • Every 15 minutes

  • Every 30 minutes

  • Every 60 minutes

This allows schools to balance accuracy with operational needs.

Live ratio visibility
Admins and staff can see current ratios in real time, helping them take immediate action when thresholds are crossed.

Alerts & notifications

Real-time alerts
Alerts can be configured to trigger when ratios fall out of compliance.

Custom notification recipients
Schools can define which staff members (e.g., admins, directors, supervisors) should receive alerts, ensuring the right people are notified instantly.

Historical reporting & insights

View past ratios easily
Admins can review historical ratio data for past dates without manual calculations.

Charts & reports
Visual reports and charts help identify trends, recurring issues, and staffing gaps over time—supporting better planning and compliance audits.

Attendance Leave Percentage Improvements

More accurate leave calculations

Exclude weekends automatically
Weekends are now excluded when calculating leave percentages in student attendance views.

Cleaner attendance insights
This ensures leave percentages accurately reflect actual scheduled attendance days, improving reporting clarity for both staff and parents.

Why this matters

  • Improves child safety by maintaining proper staff coverage in every room

  • Supports compliance with licensing and regulatory ratio requirements

  • Enables proactive management with real-time alerts and monitoring

  • Reduces manual oversight through automated tracking and reporting

  • Delivers accurate attendance metrics with corrected leave calculations
