Creating and Managing Custom Fields in Inquiries

Custom fields allow you to capture additional information for enquiries based on your specific needs. You can either create new custom fields or map existing student fields to enquiries/inquiries.

For example:

  • Preferred start date

  • Sibling information

  • Special requirements

  • Government ID

  • Reference name

📍 Where to Access

Go to: Enquiries/Inquiries → Setup → Fields

🔹 Default Fields

You will see some pre-existing fields available by default for enquiries. These cover standard information required during enquiry creation.

➕ Adding a Custom Field

You can create a new field to collect additional information.

Steps:

  1. Click on Add Field

  2. Choose the field type (e.g., text, number, dropdown, etc.)

  3. Enter a field name

  4. Set whether the field is:

    • Mandatory or

    • Optional

  5. Click Save

  6. Click Save again to finalize changes

🔗 Adding Student Fields to Inquiries/Enquiries

You can also bring existing student profile fields into the enquiry stage.

Steps:

  1. Click on Add Field

  2. Select Add Student Field

  3. Choose the required field from the student profile

    • Example: Social Security Number, Nationality

  4. (Optional) Rename the field as needed

  5. Click Save

🔄 How Field Mapping Works

  • The selected student field gets mapped to the enquiry form

  • Data entered during enquiry will align with the student profile field

  • This ensures smooth data flow after conversion

👀 Where These Fields Appear

Once added:

  • These fields will appear while manually creating an enquiry

  • Scroll down in the enquiry form to view them

  • Both:

    • Custom fields

    • Mapped student fields
      will be visible

💡 Examples

  • Custom Field: Nationality (created manually)

  • Student Field: Social Security Number (mapped from student profile)

Both will appear in the enquiry form and capture relevant data.

✅ Best Practices

  • Use custom fields for enquiry-specific data i.e the information is only needed during the admission process.

  • Use student fields when the data should carry forward to student profiles

  • Keep fields relevant to avoid clutter
