We're excited to introduce QuickBooks Online Integration, enabling childcare centers to seamlessly connect illumine Billing with QuickBooks. Automatically sync invoices and payments, reduce manual bookkeeping, and keep your accounting records up to date, all while continuing to manage childcare billing in illumine.
What's New
Automatic Invoice Synchronization
Invoices created in illumine now sync directly to QuickBooks.
Supported transactions include:
Invoices generated via Tuition Plan
Invoices added directly ( via Create invoice button)
Debit Notes (synced as standard invoices)
This eliminates duplicate data entry and helps keep accounting records accurate.
Revenue Mapping by Fee Component
Map each Charge in illumine (such as Tuition, Meals, or Registration Fees) to the appropriate Income Account in QuickBooks.
If a Charge hasn't been mapped, the invoice will still sync successfully using your configured Default Income Account.
Automatic Payment Synchronization
Payments recorded in illumine are automatically reflected in QuickBooks.
Online payments are posted to your configured default payment account.
Offline payments recorded via "Record Payment" option can be assigned to the desired QuickBooks account during payment entry.
This keeps your payment records synchronized without additional bookkeeping.
Smart Discount Handling
When multiple discounts are applied to an invoice, illumine automatically combines them into a single discount entry for QuickBooks, including any proration adjustments.
This ensures compatibility with QuickBooks while preserving accurate invoice totals.

Current Limitations
The current integration supports the core billing workflow. The following are not supported in this release:
Sales Tax synchronization (Sales Tax should be disabled in QuickBooks before setup)
Credit Notes
Refunds
Deposits
Chargebacks
Multiple payer allocation (QuickBooks supports a single customer per invoice)
