We've introduced a range of enhancements to Tour Management to make scheduling and managing tours easier for both parents and admissions teams.

From self-service tour management and automated reminders to smarter scheduling and a refreshed interface, these updates help reduce administrative effort while delivering a smoother enrollment experience.


What's New

📅 Self-Service Tour Rescheduling & Cancellation

Parents can now manage their own tour appointments directly from their confirmation email—no login or phone call required.

They can:

  • Reschedule their tour online

  • Cancel a tour with a single click

  • Reschedule up to three times before being prompted to contact the school

This gives parents greater flexibility while significantly reducing back-and-forth communication for your admissions team.


📍 Automatic Tour Location Sharing

Set your tour location once at the school level, and parents will automatically receive a Google Maps link in their tour confirmation and reminder emails for easy navigation.

Navigate to Settings -> School Details to configure location.


🔄 Appointments & Enquiries Stay in Sync

Tour appointments and enquiries are now automatically linked.

When a tour is:

  • Scheduled

  • Cancelled

  • Completed

  • Marked as a No-show

…the corresponding enquiry is updated automatically, eliminating duplicate updates and keeping your admissions pipeline accurate.


📧 Automated Emails & Smart Reminders

Keep parents informed every step of the way with automated communication.

Automatically send:

  • Branded tour confirmation emails

  • Multiple reminder emails before the appointment

Navigate to "Manage Calendar -> Email Template" to update email content and design.

Reminders automatically stop when a tour is cancelled, completed, or marked as a no-show, ensuring parents only receive relevant communications.


Smarter Scheduling

Finding available tour slots is now quicker than ever.

Admissions teams can:

  • Instantly view available tour dates

  • See the next available slot when a selected day is fully booked

This makes scheduling tours faster and helps maximise availability.


🚀 Faster Tour Booking

Create appointments with fewer clicks.

You can now:

  • Create a tour appointment using only the parent's name

  • Copy the booking link via "Copy Parent Booking Link" as shown below to instantly share form to book an appointment.

Perfect for quickly confirming bookings during calls or enquiries.


🎨 Improved Appointment Visibility

Managing appointments is now more intuitive with:

  • Colour-coded statuses for Scheduled, Cancelled, and No-show tours

  • Staff leave displayed directly within the calendar

This gives your team a clearer view of tour schedules and availability at a glance.


✏️ Quicker Tour Management

Manage appointments more efficiently without leaving the booking screen.

You can now:

  • Update parent and child information

  • Reschedule tours

  • Mark appointments as completed

  • Record no-shows

Common actions are now faster and easier to access.

We've redesigned the Appointments and Calendar pages with a cleaner, more modern interface.

The refreshed experience makes it easier to:
