Learning, Lessons, Observations and Conference Reports (US)

Written by Shivee

Quick answers to common questions about lesson planning, observations, and conference reports for US schools.

Dashboard: us.illumine.app

1. I created a lesson plan, but I cannot add it to the weekly plan. What should I do?

First, set the date range filter. The lesson plan will only appear for dates within the selected range.

Also, remember that lesson plans are attached separately for each classroom and each day.

Good to know: There is no option to add a lesson plan to all classrooms at once. You need to attach it to each classroom where it is required.

2. My bulk-uploaded lessons are not appearing. What should I do?

Please share the lesson upload template with the Illumine Support team so they can re-upload the lessons.

Good to know: The Messenger does not support spreadsheet attachments. If you share the template through Messenger, the attachment will not reach the team. Please email the file instead.

3. Can I change the age range of a lesson set from 1.5–3 years to 0–3 years?

No. Lesson set age ranges are fixed and cannot be changed.

As an alternative, you can map both the Infants and Toddlers lesson sets to the same room.

To do this, navigate to Curriculum Setup > Lesson Set Mapping > Edit.

4. Can Staff create lesson plans without sharing them with families?

Yes. You can control this through Staff role permissions. Go to Settings > Access Control > Select the Staff role > View Permissions > Lessons and untick Share Lessons.

This allows Staff to write lessons without sharing them with families.

5. Where can I find observations from last month?

Navigate to Learning & Progress > Observations.

Set the required date range and select the classroom to view the observations.

Good to know: If no classroom is selected, the page may show No Data, even when observations are available.

6. Why can't parents see the progress Staff record in the weekly grid?

This is expected behavior. The weekly grid is for internal school use and is not automatically visible to parents.

Parents can view shared observations under Learning > Observations in the Parent App. To share progress from the weekly grid, the school needs to publish a Conference Report.

7. How can I prepare a conference report now and publish it later?

You can prepare conference reports as drafts, review them, and submit them for review before sharing them with families.

Follow these steps:

  1. Go to Learning & Progress > Conference Reports.

  2. Open Terms and click New Reporting Round.

  3. Select the reporting period, age-group template, and classroom. Illumine will create a draft report for each child.

  4. From the Dashboard, open the draft report for a child. Progress will automatically populate from the weekly grid.

  5. Add photos under Moments and write a message in A Note for the Family.

  6. Sign, save, and submit the report for review.

  7. Use Preview to see exactly what parents will receive.

Good to know: Avoid making changes in the Templates tab while preparing individual reports. It contains the shared report layout, so changes made there will affect every report.
