The School Calendar in illumine helps you plan and share all key dates with staff and parents in one place. You can add events, holidays, and important dates, send notifications, and keep everyone informed about what’s happening at your center.

This article explains how to use the School Calendar, create entries, and manage them effectively.

Accessing the School Calendar

To open the calendar:

  1. Go to Calendar from the left menu

  2. Click School Calendar

Here you can:

  • View all upcoming events and holidays

  • Filter by room, category, or time range

  • Switch between Month View and List View

  • Add new entries or bulk upload them

Understanding Calendar Categories

In the calendar, you can create and view three types of entries:

  • Event – Celebrations, programs, meetings, sports day, etc.

  • Holiday – School closed days

  • Important Date – Reminders like deadlines, special observances, or notices

Each category appears with a different color so it’s easy to identify in the calendar.

How to Add an Entry to the School Calendar

  1. Go to Calendar β†’ School Calendar

  2. Click Add (top-right corner)

  3. Fill in the details and click Save/Submit

Event Details Section

When creating a calendar entry, you’ll see the following fields:

1. Select Type
Choose whether it is:

  • Event

  • Holiday

  • Important Date

2. Event Name
Enter a clear title (e.g., Annual Day, Sports Day, Eid Holiday).

3. Select Rooms
Choose which classrooms or centers this applies to.
Only selected rooms will see this event.

4. Event Description
Add more details for parents and staff (optional but recommended).

5. Cover Photo (Optional)
You can upload a banner or image to make the event more engaging.

Date & Time Settings

Add the schedule for the event:

  • Start Date & End Date

  • Start Time & End Time

  • You can create:

    • Single-day events

    • Multi-day events

    • All-day events

Notification Settings

You can control who receives notifications about the calendar entry:

  • Send Notification to Staff – Staff members will receive a notification about this event or date.

  • Send Notification to Parents – Parents will receive a notification in their app once the entry is created.

  • Disable Comments – Turn this on if you don’t want users to comment on the event.

  • Staff Only – Mark the entry as staff-only if it should not be shared with parents.

These options help ensure the right people are informed about upcoming events, holidays, or important dates.

These settings help you manage communication and visibility.

Apply to All Centers

If you have multiple centers, you can apply the event to:

  • A specific center

  • All centers at once

This saves time when adding common events across branches.

Attach Files

You can upload:

  • Documents

  • Images

  • Event schedules

These will be visible in the event details for parents and staff.

Viewing Calendar Entries

You can switch between:

Month View

  • Shows events on a calendar grid

  • Helps visualize upcoming activities

List View

  • Shows events in a list format

  • Useful for quick review

You can also filter by:

  • Room

  • Category (Event/Holiday/Important Date)

  • Time range

  • Staff-only entries

Bulk Upload Calendar Entries

If you want to add many entries at once:

  1. Click on the three dots and select Bulk upload

  2. Download the format

  3. Fill in details in the Excel sheet

  4. Upload the file

  5. Submit

This is useful for uploading yearly calendars quickly.

What Parents & Staff See

Once saved:

  • Parents see events in their app calendar

  • Staff see reminders in their dashboard

  • Notifications are sent if enabled

This keeps everyone informed about upcoming activities and closures.

Best Practices

  • Add events early so parents can plan ahead

  • Use descriptions for clarity

  • Send notifications for important updates

  • Use categories correctly for better organization

The School Calendar ensures smooth communication and planning across your center. By keeping events, holidays, and important dates updated, both staff and parents stay informed and prepared.
