The Enquiries/Inquiries module in illumine helps you manage all incoming leads and registrations in one place. From capturing new enquiries to automating follow-ups and tracking conversions, this module ensures a smooth admission and enrolment process for your center.

This guide walks you through everything you need to know to set up and manage enquiries/Inquiries effectively.

Managing Enquiry Stages and Sources

The Stages and Sources settings in the Enquiries module help you organize, track, and understand your leads more effectively.

📍 Where to Access

Go to: Enquiries → Setup → Stages and Sources

🔹 Managing Enquiry Stages

Stages help you track the progress of an enquiry through your admission funnel.

Default Stages

You will see some default stages such as:

  • Interested

  • Toured

  • Waitlisted

  • Lost

  • Admitted

Note: The Admitted stage is a system-defined stage used when an enquiry/inquiry is converted into a student. This stage cannot be edited or removed.

➕ Adding a New Stage

To add a new stage:

  1. Click on + Stage

  2. Enter the stage name (e.g., Waitlist)

  3. Confirm and save

You can also adjust the position of the stage based on your workflow.

✏️ Editing a Stage

  • Click on the edit icon next to the stage

  • Update the name as needed (e.g., rename Lost to Closed)

⚙️ Configuring Lost Reasons

You can define reasons for marking an enquiry as Lost.

Example reasons:

  • Parent relocating

  • Budget constraints

  • Chose another school

To add:

  1. Click on Configure reasons

  2. Add your reasons

  3. Save changes

🔹 Managing Sources & Sub-sources

Sources help you understand where your enquiries are coming from.

➕ Adding a Source

To create a new source:

  1. Click on + Source

  2. Enter the source name (e.g., Phone Call, Walk-in)

  3. Save

➕ Adding Sub-sources

Sub-sources provide more detailed tracking under each source.

To add a sub-source:

  1. Click on Add Subsource under a source

  2. Enter the name (e.g., Friends & Family, Advertisement)

  3. Save

Example:

  • Source: Walk-in

    • Sub-source: Advertisement
