Setting Up Enquiry Automation (Follow-ups & Tasks)

The Enquiry Automation feature helps you automatically follow up with prospective parents when an enquiry reaches a specific status.

This ensures:

  • No lead is missed

  • Parents receive timely communication

  • Staff are reminded to take action

  • Follow-ups are consistent and organized

You can automate:

  • Emails

  • Task assignments

  • Follow-up reminders

How to Create an Enquiry Automation

  1. Go to Enquiries from the left panel.

  2. Click Enquiry Automation.

  3. Click Create Automation.

Now configure the automation:

  • Enter a name for the automation (e.g., Interested Follow-up Flow).

  • Select the trigger status (for example: Interested).

This means the automation will trigger whenever an enquiry moves into that selected status. Click Save.

Add Automation Steps

Once the automation is created, you can add different actions that should happen automatically.

1. Send Email

You can automatically send an email to the parent when the enquiry reaches a specific status.

Steps:

  1. Click Add Step β†’ Send Email

  2. Choose an existing email template

  3. Select when the email should be sent:

    • Immediately (as soon as status changes)

    • After X days (for delayed follow-up)

This is useful for:

  • Thank-you emails

  • Brochure sharing

  • Reminder emails

2. Create Task

You can also automatically assign a task to a staff member.

Steps:

  1. Click Add Step β†’ Task

  2. Enter a task description (e.g., Call parent for follow-up)

  3. Select when the task should be created

  4. Assign it to a staff member

  5. Set a due date

This ensures your team follows up at the right time.

You Can Add Multiple Steps

An automation can include multiple actions, such as:

  • Immediate confirmation email

  • Follow-up task after 2 days

  • Reminder email after 5 days

You can design the workflow based on your admission process.

Important Note

Make sure the automation status is set to Active.

If the automation is left Inactive, it will not trigger β€” even if the enquiry status changes.

Using Enquiry Automation helps standardize your admission process and improve response time to parents.
