1. How do I block a date so nobody can book a tour?
You can block specific dates or time slots directly from Tour Management.
Follow these steps:
Go to Tour Management and open the Calendars tab.
Find the calendar you want to update.
Click the three-dot menu and select Block Off Time.
Choose the date, days, and time range you want to block.
Save your changes.
The selected slots will immediately disappear from the parent booking page.
You can view existing blocked times under Block Offs. To add another block, click Create Block Off.
2. Why can't parents see tour slots after a certain date?
Each tour calendar has an end date that determines how far ahead parents can book.
To extend availability:
Go to Tour Management > Calendars.
Find the calendar and check the end date displayed below its name.
Open the calendar and extend the date range.
Save your changes.
Parents will then be able to see available tour slots up to the new end date.
3. Can I move a tour to a time outside the calendar's available hours?
No. You cannot move a booking outside the availability hours of the same calendar.
You can either:
Cancel the existing booking and manually book the tour on another calendar that covers the required time.
Update the calendar's availability to include the required time before booking.
4. Can tour bookings be added to Google Calendar?
The tour confirmation email sent to parents includes options to add the booking to Google Calendar, iCal, or Outlook.
If you want to receive the same calendar links, you can CC yourself on the confirmation email.
Good to know: Automatic calendar synchronization is currently in beta with a few schools and is not generally available yet.
5. Can a parent have two upcoming tour bookings?
Yes, in most cases. A new tour is created each time a booking is made from an inquiry, by the school, or by a parent who already has an inquiry. This allows two upcoming tours to be linked to the same inquiry.
Good to know: There is one exception. If someone without an existing inquiry books publicly and then books the same calendar again for the same child, the new booking replaces the earlier one instead of creating a second booking.
