Effective staff management is crucial for smooth operations in your center. The system provides various tools to help you invite staff, store important documents, track attendance, manage leave, and keep essential notes. Below is a guide to managing staff information efficiently.

Send Staff Invite

To add new staff members to your system:

  1. Navigate to Center Management from your dashboard.

  2. Select Staff from the available options.

  3. Locate and click on the staff member you want to invite.

  4. In their profile, find the Send Invite option (usually in the actions menu or toolbar).

  5. Click Send Invite to email the staff member an invitation to join the system.

Attach Documents & Organize Files

Keeping important staff documents organized is simple with the document management feature.

To Attach a Single Document:

  1. Go to Center Management > Staff and select the relevant staff member.

  2. Click on the Personal Files tab.

  3. Click Add Document in the top-right corner.

  4. Choose Media Type (Photo or File).

  5. Click or drag the file into the upload area and select Submit to attach it.

To Create and Manage Folders:

  1. In the Personal Files tab, click Add Folder.

  2. Enter a name for the folder and click Save.

  3. Open the folder and click Add Document to upload files as needed.

Monitor Staff Attendance

The Attendance section provides insights into staff attendance records, helping you track performance and identify trends including

  • Attendance %: Percentage of days attended.

  • Days Present: Total days worked.

  • Days Absent: Days missed.

  • Leave Count: Total number of approved leave days.

Leave Management

Efficiently track and manage staff leave requests.

To View Leave Records:

  1. Go to the Leave tab.

  2. Select the date range you wish to review.

  3. Filter leave records by:

    • Leave Type (sick leave, vacation, etc.)

    • Allocated (total leave assigned)

    • Approved (leave requests that have been approved)

    • Pending (leave requests awaiting approval)

    • Denied (leave requests that were rejected)

    • Leaves Left (remaining available leave balance)

To Apply for Leave on Behalf of Staff:

  1. Click Add Leave.

  2. Enter the leave details, including date, type, and reason.

  3. Click Save to submit the request for approval.

Forms Management

Keep staff documentation organized by tracking forms efficiently.

Download Staff Forms:

  1. Click on the three dots in the top-right corner of the dashboard.

  2. Select Download Excel.

  3. The file will be automatically downloaded for offline use.

Add & Manage Staff Notes

Keep track of important details about staff members with the Notes feature.

To Add a Note:

  1. Click Add Note.

  2. Enter a Description for the note.

  3. If the note is confidential, select Mark as Private and choose authorized viewers.

  4. Optionally, assign the note to a specific staff member for better context.

  5. Attach media files if needed.

  6. Click Submit to save the note.

By utilizing these features, you can streamline staff management, ensuring that all necessary information is stored securely and accessible when needed.
