Recent Release: Subsidy Management

We’ve introduced a unified Subsidy Management system that gives centers powerful tools to manage external funding, grants, subsidies, and student-specific support. With clearer tracking, automated billing integration, and subsidy allocation to specific students, staff can reduce manual work and ensure accurate billing.

What’s New

Centralized subsidy management

Manage all subsidy programs in one place
Staff can create and maintain multiple subsidy sources and manage their fund allocation.

Automatic application through tuition plans
Subsidies can be configured to auto-apply to all invoices for a student by defining the specific program and tuition plan name in the student’s profile. When those conditions match, the subsidy is automatically applied only to those eligible students.

Manual application when needed
Staff can also apply subsidies manually to individual invoices when exceptions or one-time adjustments are required.

Common Funds (shared funding pool)

Set up shared funding sources
Admins can create a Common Fund with a total dollar amount meant to support multiple students (e.g., grants, sponsorships, agency-funded programs).

Student-Allocated Funds (individual support)

Dedicated funding per student
Centers can assign a fixed amount of financial support to a student—ideal for individualized assistance.

Balance visibility
Each student’s remaining funds are tracked and updated in real time.

Seamless billing integration

Automatic adjustments
Subsidies and fund allocations flow directly into invoicing—removing the need for manual edits.

Clear invoice breakdowns
Invoices show how much is covered by subsidies, common funds, or student-allocated funds, and what portion remains payable by the family.

Why this matters

  • Less manual work for staff thanks to automated invoice adjustments and integrated rules.

  • Support for diverse funding models—subsidies, pooled funds, and individual student support.

  • Greater transparency for families and administrators.

  • More accurate billing tied to clearly defined funding sources.

  • Better auditing and reporting with tracked fund usage and balances.
