🔗 How to Set Up the Zoho Integration in illumine
Connecting Zoho Books, mapping your accounts, and avoiding duplicate records on first sync
illumine's Zoho integration keeps students, fee components, invoices, payments, and credit notes synchronised with Zoho Books automatically. This guide covers everything needed to connect Zoho for the first time, map your accounts and existing records correctly, and then use the ongoing sync status indicators and manual sync option day-to-day.
Part 1: Connect Zoho for the First Time
Step 1: Go to Zoho Configuration page
The first time you visit, you'll see the Zoho Integration intro screen. Click Connect to Zoho. You'll be redirected to Zoho to sign in and authorize illumine — this is a one-time OAuth step. Once authorized, you're returned to illumine with the connection active.

Step 2: Choose Your Organization
If your Zoho account has more than one organization, start by selecting the correct one from the Choose Organization screen — the Zoho connection and all mappings are set up per organization.

Step 3: Open the Zoho Integration Page
Now you will be redirected to the Zoho Integration homepage. This is your control center for the integration - it shows an overview card, plus a count of every entity type (Students, Fee Components, Invoices) synced between illumine and Zoho.

Step 4: Configure Your Account Mappings
Before any data syncs, tell illumine which Zoho accounts to use by default. Under Invoices, set the Payment Account (used when syncing payments) and the Line Item Account (used as the default account for invoice line items).

Step 5: Map Your Payment Methods
Click Configure next to Payment Method. In the Configure Payment Methods dialog, map each illumine payment method (Cash, Card, Bank Transfer, Cheque, Payment Gateway, Tabby, etc.) to the matching account in Zoho, so payments sync to the right ledger. Click Save when done.

Step 6: Map Your Centers to a Zoho Location
If your Zoho organization uses Locations (common for multi-branch nurseries), set Location Mapping so invoices from each illumine center post to the correct Zoho location. Click the field and search for your center's matching Zoho location from the list.

⚠ Complete all account and location mappings before enabling sync. Changing these later won't retroactively fix records that already synced with the wrong account.
Part 2: First-Time Data Mapping (Avoid Duplicate Records)
If you already have student/customer records in Zoho from before connecting illumine, map them to your existing illumine students first. Otherwise, the initial sync will create brand-new duplicate customer records in Zoho instead of matching your existing ones.
Step 1: Open Student Mapping
From the Zoho Integration page, click Explore next to Student. Switch between the Mapped and Unmapped tabs to see which illumine students already have a matching Zoho contact, and which still need to be linked.
Step 2: Match Each Student to Their Zoho Record
For each row, use the Name as seen in Zoho field to search for and select the corresponding existing contact in Zoho. illumine will link the two records instead of creating a new one on the next sync.

Step 3: Save Your Mapping
Once every student that has an existing Zoho record has been matched, click Save in the top-right corner. Any students left unmapped will simply create new customer records in Zoho on their first sync — which is fine for genuinely new students.
⚠ Do the student mapping once, right after connecting. It's the single most important step for avoiding duplicate customer records in Zoho.
Tips
Complete account mapping and student mapping before relying on automatic sync — this prevents duplicate customers, wrong revenue accounts, and misfiled locations in Zoho.
The green "Sync" indicator confirms a record matches Zoho; if it's missing, check the Unmapped tab or trigger a manual sync.
Fee Items, Taxes, and Invoices each have their own Explore view from the overview page if you need to check their sync status individually.
Payment method mappings can be edited any time via Actions → Configure without affecting already-synced records.
